The Building Allocations, Step 1, page is required if any Title I funds are retained.  Note: If Title I funds are not retained, the screen can still be accessed, but the fields will not be editable.

You may also click on one of the page links in the left-hand column to go to the help screen for the corresponding page.

Warning:  If you enter data and do not save your data, it will not be saved when you close the page.  You can choose to save the information after filling out the entire Building Allocations, Step 1, page, but it is recommended to save occasionally so that information will not be lost.

Enrollment Date

Enter the Enrollment Date that was used to determine the official enrollment count.  Note: The format for the Enrollment Date is mm/dd/yyyy .  (Example:  09/20/2017)  This is a required field.
 

Attendance Center Grid

The Attendance Center Grid will be pre-populated with the school buildings that have a status of 'Active' or 'Pending' in the KSDE Directory system.

Note: If any of the District's school buildings are not displaying, you will need to go to the 'Directory Update' system and add the school building(s).  Once the request has gone through the approval process, the building(s) will display on the Building Allocations screens.

Enter the necessary data in the Attendance Center Grid.  Note: Each of the columns can be sorted by clicking on the column headers.

Bldg #

The Building #'s for each of the Buildings as assigned by the KSDE Directory system.

Attendance Center

The official name of the Attendance Centers for each of the Buildings as entered in the KSDE Directory system.

Building Level

The category or building level for each school building as entered in the KSDE Directory system.  (Note: This is not a complete list.)

  • Elementary
  • High School
  • Junior High School
  • Kindergarten
  • Middle School
  • Other
  • Prekindergarten
  • Special Schools

Grade Span

The grade span for each school building as entered in the KSDE Directory system.   (Note: This is not a complete list.)

  • K-6
  • 7-9
  • 9-12
  • PK-4

Feeder Pattern Used

Non-Feeder Buildings : Enter enrollment and low-income data for each building using either the previous or current school year data for unduplicated student counts.

Feeder Buildings : The 'Feeder Pattern Used' field will contain a checkbox, that when checked will indicate that the school building will "feed" into another building.

Process :

  1. If the district is combining two or more buildings into one attendance center for funding purposes, determine which building will be designated as the combined attendance center name.
  2. Click on the 'Edit' link in the 'Feeder Pattern Used' column of the Attendance Center that will "feed" into another building.
  3. In the drop-down box, select the building that will be designated as the combined attendance center name.
  4. Click on the 'Update' link.
  5. Enter enrollment and low-income data for this building.  Note: The data will be combined with the building designated as the combined attendance center on the 'Building Allocations, Step 2' page.

Example:

  1. West Elementary and Wheatland Elementary will be combined.  Wheatland Elementary will be the name of the combined attendance center.
  2. Click on the 'Edit' link in the 'Feeder Pattern Used' column of the 'West Elementary' row.
  3. From the drop-down box, select 'Wheatland Elementary'.
  4. The row will be updated and will now show a 'check' in the checkbox.
  5. Enter the enrollment and low-income data for this building.  Note: The data will be combined with Wheatland Elementary and will display on the 'Building Allocations, Step 2' page.

Field where the total number of Public students for the school building will be entered based on the date of the official enrollment count.

Field where the total number of Non-Public students for the school building will be entered based on the date of the official enrollment count.

Field where the total number of Public Low Income students will be entered based on the date of the official enrollment count.

Field where the total number of Non-Public Low Income students will be entered based on the date of the official enrollment count.

Comments

Enter any necessary comments in the 'School District Comments' box.  Note: There is a limit of 1000 characters.

Saving Data
 

Click on one of the following buttons:  Note: Clicking either of these buttons will run the error checking for the page.

Save and Continue Step 1

Clicking this button will save all of the data entered on the 'Building Allocations, Step 1', page.  The page will remain open and the list of error messages should be reviewed at the bottom of the page.

Save and Go to Step 2

Clicking this button will save all of the data entered on the 'Building Allocations, Step 1', page.  The page will close and the 'Building Allocations, Step 2' will open.  Note:  All data will be saved even if there are errors, so the 'Building Allocations, Step 1, page will need to be re-opened if the errors are to be reviewed.

Go To Step 2

Clicking this button will not save any data, but will simply change the page to the 'Building Allocations, Step 2' page.

Go To Step 3

Clicking this button will not save any data, but will simply change the page to the 'Building Allocations, Step 3' page.

Errors

Scroll to the bottom of the page and click on the 'Show Details' link to view any errors for the page.

Note:  Any time changes are saved, the errors section should be reviewed for additional errors.

The following are a list of errors that may appear on the 'Building Allocations, Step 1' page:

Definition/Process

Error messages -- data will be saved on the page, but these error messages must be corrected before the application can be submitted.

Please enter 'Public Enrollment' data for the Attendance Centers.

This error will appear if there has not been a value entered in to the 'Public Enrollment' fields for any of the rows.

--> Enter the 'Public Enrollment' data for at least one of the school buildings.

Please enter Public and/or Non-Public Enrollment numbers in at least one row.

This error will appear if there has not been a value entered in to the 'Public Enrollment' and/or 'Non-Public Enrollment' fields for any of the rows.

--> Enter the 'Public Enrollment' and/or 'Non-Public Enrollment' data for at least one of the school buildings.

Please enter the date of the official enrollment count.

This error will appear if the official enrollment date field is blank.

--> Enter the date that was used to determine the official enrollment date.

Please enter the 'Public # Low Income' data for the Attendance Centers.

This error will appear if there has not been a value entered in to the 'Public # Low Income' fields for any of the rows.

--> Enter the 'Public # Low Income' data for at least one of the school buildings.

The 'Non-Public # Low Income' field must be equal to or less than the 'Non-Public Enrollment' field.

This error will appear if the value in the 'Non-Public # Low Income' field is greater than the 'Non-Public Enrollment' field.

--> Adjust the values entered in either the 'Non-Public # Low Income' and/or 'Non-Public Enrollment' fields to make the 'Non-Public # Low Income' field greater than or equal to the 'Non-Public Enrollment' field.

The 'Public # Low Income' field must be equal to or less than the 'Public Enrollment' field.

This error will appear if the value in the 'Public # Low Income' field is greater than the 'Public Enrollment' field.

--> Adjust the values entered in either the 'Public # Low Income' and/or 'Public Enrollment' fields to make the 'Public # Low Income' field greater than or equal to the 'Public Enrollment' field.

Warning/Informational messages -- data will be saved on the page, but these error messages are for information only and do not need to be corrected before the application can be submitted.

Please enter the enrollment and low-income totals for the following school(s). If there is not an enrollment or low-income total for a particular school, please explain in the School District Comments box.

This error will appear if any of the rows do not have any 'Public Enrollment' or 'Non-Public Enrollment' data entered.  The buildings will be listed in the error message.

--> Enter the 'Public Enrollment' and/or 'Non-Public Enrollment' data for at least one of the school buildings.  If there is not any 'Public Enrollment' or 'Non-Public Enrollment' entered for a particular building, you must enter an explanation in the 'School District Comments' box.
